EVENTS BOOKING PROCESS & TERMS
By booking an event with Square Mile Coffee, you agree to the following terms of service. Please be aware that these terms may change without prior notice.
BOOKING PROCESS
Before booking an event, please ensure you have read the description and content, to ensure that it will meet your needs.
For current event costs and available dates, please contact us for a quote.
Upon your acceptance of the quote and subsequent payment of the deposit, your booking will be confirmed.
We will request your company details to arrange for a deposit invoice.
Please note that if your event is taking place within one (1) month of invoicing, the deposit and remaining payment will be included on the same invoice.
The event date and time will be held for five (5) working days prior to us receiving your company details, and then another five (5) working days for the deposit to be paid.
If we do not receive company details and payment within these stated times, your requested event date and time will open up for other bookings.

IN-PERSON EVENTS
PROCESS & PAYMENTS
Invoices will be issued electronically, consisting of one invoice for the 25% deposit and one invoice for the remaining 75% payment.
To reserve the date and time of your event, Square Mile Coffee requires receipt of a deposit of 25% of the full price for the In-Person Event Session. The deposit is non-refundable.
Square Mile Coffee requires full payment of the remaining 75% for the In-Person Event Session and any travel costs five (5) working days before the event takes place.
Important note: Square Mile Coffee’s acceptance of your booking brings into existence a legally binding contract between us on these terms of service. Any term sought to be imposed by you in any purchase order or correspondence will not form part of the contract.
CANCELLATION POLICY
Full refund of fees for cancellations of bookings will be honoured where more than five (5) working days' notice is provided. This excludes the 25% deposit.
Fees will be refunded to the original payment method.
In the event of cancellation of an event by Square Mile Coffee, we will endeavour to inform you at least one (1) week before the event is due to take place, although please be aware that this is not always possible.
All fees paid will be reimbursed in full, or the payment will be transferred in full to another Square Mile Coffee event.
Square Mile Coffee shall not accept liability for any consequential loss and shall have no liability to reimburse any other costs that may have been incurred.
VIRTUAL EVENTS
PROCESS & PAYMENTS
Invoices will be issued electronically, consisting of one invoice for the 25% deposit and one invoice for the remaining 75% payment plus postage.
To reserve the date and time of your event, Square Mile Coffee requires receipt of a deposit of 25% of the full price for the Virtual Event Session and an estimated number of Event Kits, up to a maximum of £500 (excl. VAT). The deposit is non-refundable.
Square Mile Coffee requires full payment of the remaining 75% for the Virtual Event Session, Event Kits and postage fourteen (14) days before the event is taking place.
Square Mile Coffee requires confirmation of attendee numbers three (3) weeks before the event takes place.
Square Mile Coffee requires the addresses of event kit recipients from ten (10) to fourteen (14) days before the event takes place, depending on the location of the attendees.
Please note that we might request the addresses earlier than this for certain shipping destinations and periods around UK Bank Holidays.

SHIPPING
Square Mile Coffee ships event kits within the UK and internationally, and prices will be quoted upon request.
Shipping times can vary from country to country and Square Mile Coffee does not guarantee shipping times or delivery.
We send most international deliveries with DHL Delivered Duty Paid. Please note that import VAT, duties and fees may apply to international shipping, and the recipients are responsible for paying them.
FORCE MAJEURE
Square Mile Coffee shall not be liable for the refund of fees or for any other penalty should the event be cancelled due to war, fire, strike lock-out, industrial action, tempest, accident, civil disturbance or any other cause whatsoever beyond their control.
PRIVACY
The information we collect about registrants is processed by Square Mile Coffee to facilitate registration for events and to notify you of our other related events where permission is given. Use of this information will be in compliance with our Privacy Policy.
ENTIRE AGREEMENT
These terms of service, together with the current Square Mile Coffee event details and pricing and Square Mile Coffee contact details, set out the whole of our agreement relating to the event. These terms and conditions cannot be varied except in writing, signed by a Director of Square Mile Coffee. In particular, no terms and conditions incorporated within your purchase order and nothing said by any person on behalf of Square Mile Coffee should be understood as a variation of these terms and conditions or as an authorised representation of the nature or quality of any goods offered for sale by Square Mile Coffee. Square Mile Coffee shall have no liability for any such representation being untrue or misleading.
