Contract for Maternity Cover; Min 10 Months
THE ROLE
As Office Administrator (Maternity Cover), you will be responsible for the smooth running of all aspects of the office while ensuring that the business and our team are well-supported at all times.
This critical role offers an opportunity to take ownership of the roastery office’s day-to-day function while supporting our operations, customer service and finance teams and developing your skills in these areas.
As someone who is well-organised and a self-starter, you will have had previous experience working in a similar role within a small but dynamic workplace. This position would also work well for someone in a hospitality or roastery management position, who has worked with customer service, health and safety compliance, finance and/or HR, and looking for an office-based role.
The role will commence in February - early March 2025 and be for a minimum of 10 months.
Your role will include (but is not limited to)
- Ensuring the day-to-day efficiency and smooth running of the office
- General front-of-house duties: meeting and greeting guests; scheduling appointments; providing general phone cover; distributing post and small deliveries
- Setting up meeting rooms for interviews and meetings, including presentation equipment and refreshments
- Managing office equipment and consumables: stationery, DSE equipment and records, printers, office, restroom and kitchen pantry supplies
- Ensuring communal spaces are kept in good order on a day-to-day basis
- Customer Service cover and ad-hoc Customer Service Duties
- Finance cover and ad-hoc finance duties
- Assisting HR Support and Line Managers with onboarding, offboarding, inductions and new staff training, as well as assisting in enforcing new and updated company policies
- Working with the operations team to maintain and develop health and safety procedures, risk assessments, policies and record-keeping
- Point of contact for external IT, telecoms, building security/access and fire safety
- Liaising with external contractors to ensure that all spaces are clean, and well-maintained and routine checks are carried out and recorded
- Assisting in coordinating team events and team birthdays
- Ad-hoc project work and wider office support when required
REQUIREMENTS
- Preferably 2+ years experience in a similar office-based role, ideally including operational support
- Excellent interpersonal and written communication skills
- Agile problem-solving and organisational skills
- Ability to maintain a high level of confidentiality
- Ability to work collaboratively across all departments
- Excited to play a part in shaping the company culture at Square Mile Coffee Roasters
- Comfortable being the go-to person for our growing team! Whether that be our Production Roaster or our Customer Service team
- Positive, proactive and willing to take on new challenges
- Working knowledge of G-Suite is preferred
- Able to work full-time at our head office in London (please note this is an office-based position)
